July 2019 Classified Rate Changes in Workday

The ISC has completed updating the classified staff compensation grades and steps in Workday, to reflect increases that went into effect on July 1. Updates to individual Classified Staff pay rates (also known as “nudges”) are now in progress, and employees will see these increases on their July 25 paycheck.

Successful Transition of Employment Verifications From ISC to i2Verify

In line with industry best practices, the UW began using i2Verify to provide employment and income verifications for current and former UW employees on May 1. With a little over a month under our belt, we are very pleased to report that the transition has been very successful: as of June 6, i2Verify has fulfilled 1,698 employment verifications for UW employees, with a 99.9% success rate.

Auditing for Possible Fiscal Year Changes

As the end of the fiscal year nears, Costing Allocations Coordinators may wish to compare their unit’s Costing Allocations start and end dates with the FAS Current End Date listed in Workday by running the R0415 Payroll Costing Allocation End Date Exception Report. This report pulls the current Costing Allocations for your workers and the Cost Centers involved in the Costing Allocations.

Action Required: Follow Up With Employees Who Missed Suspended Operations Deadlines

Now that the Suspended Operations deadlines have passed (May 14 for the UW and UW Tacoma, May 15 for UW Bothell), units will need to identify which of their employees still have a Suspended Operations balance and follow up with them immediately to complete their Suspended Operations Overpayment Repayment plan.

Why this is important: Employees who have already been paid for applicable days of Suspended Operations, and have not made up the time within the 90-day window or entered an eligible Time Off type (such as Vacation Time Off) in Workday to account for their missed time, are considered overpaid. As a state institution, the University of Washington is required by law to recover these overpaid funds.

Best Practice: Ask Students and Other Departing Employees to Use “Effective Date” When Updating Their Address in Workday

When updating home addresses in Workday, please remind employees to set the Effective Date for a date AFTER they receive their last paycheck, or they could be subject to state withholding tax. If the updated address is in a state that assesses state taxes (for example, California), state taxes will be taken on the employee’s paycheck.

Employment Verifications Move From ISC to i2Verify

We are very pleased to announce that, beginning on May 1, the University of Washington switched to i2Verify to provide employment and income verifications for current and former UW employees. Previously, the ISC’s support team handled verification requests. Employment and income verifications are often required when employees are trying to secure a mortgage or rental, buy a car, or apply for social service entitlements. i2Verify is a leading provider of employment and income verifications, and already has an established relationship with most lenders, property managers, pre-employment screeners and government agencies who require employment and income verifications.
