Medical Centers Employees:
This update applies to campus employees only as Medical Centers have a different process for correcting Legal Names. Medical Centers employees can refer to the Edit Legal Name – Med Centers User Guide for how-to guidance.
In ongoing efforts to improve the user experience, the ISC has recently removed a step in the Edit Legal Name business process.
Previously, when an HR Partner or Academic Partner submitted an update or correction to an employee’s Legal Name in Workday, the business process would trigger a “To Do: Proof of Name Change in Legal Name” request to the employee, asking them to submit proof of their legal name to the HR or Academic Partner. As the HR Partner or Academic Partner should already have the proof of an employee’s name when initiating the Legal Name Change business process, this was an unnecessary step. The ISC has now removed this To Do when the Legal Name Change is initiated by the HR Partner or Academic Partner.
Please note: If the employee initiates the Edit Legal Name process, the “To Do: Proof of Name Change in Legal Name” step will continue to route to the employee, asking them to submit a copy of their Social Security card to the unit’s HR or Academic Partner for approval.
