Academic Personnel – Planning for September

The beginning of the academic year brings a flurry of activity. In addition to your new hires and changes for your existing employees, there are three major events that will require your attention in September.  Below is a list with a brief description of the unit activity required for each event, and anticipated dates for those activities. Please note, dates are for planning purposes only and may need to adjust slightly to accommodate any technical issues. We will follow up with more detailed communication about Sabbatical and Promotions closer to the date of those events.

Return from Summer Hiatus:

  • The ISC will perform a mass return of academic employees from Summer Hiatus leave. The mass return will be submitted on September 18 for all faculty with a First Day Back at Work of September 16.
  • Starting September 18:
    • Run ‘R0561: Return from Summer Hiatus Leave’ report to review FTEs for workers on Summer Hiatus through September 15. For FTEs that were reduced for summer funding, use the Change Job business process with the appropriate effective date (should be September 16 if last day of summer hiatus leave is September 15) and Summer Hiatus reason code (02 – Summer Faculty FTE Change) to put employees back on normal, academic year FTEs (can be submitted now through September 29).
      • Please note: No compensation changes should be made with this data change.
    • Units can run the ‘Workers On Leave’ report to ensure all of their faculty have been successfully returned from summer hiatus.

Sabbatical:

This year, the ISC will upload the 2017-18 sabbaticals into Workday on September 26 using previously collected data stored in Academic HR’s legacy system.

Units should expect to review data loaded in Workday and contact the ISC with any changes or corrections (between September 26 and September 29).  More information to follow.

Promotions:

This year, the ISC will upload the academic promotions effective on September 16, 2017 into Workday using previously collected data stored in Academic HR’s legacy system. Units should expect to review data loaded in Workday and contact the ISC with any changes or corrections (between September 26 and September 29).  More information to follow.
