Action Required – Switching to 2017 Form I-9

On July 12, the U.S. Citizenship and Immigration Services (USCIS) announced a revised version of the Form I-9, Employment Eligibility Verification.

The new 2017 Form I-9 will become available during the planned fall Workday release on September 9.

In order to be in compliance with UCSIS, Workday is requiring all in-progress 2016 Form I-9s to be completed by September 15. Any 2016 Form I-9s not completed by that deadline will need to be cancelled and re-initiated using the 2017 Form I-9. To track in-progress I-9s, you can use the “Worker I-9 Audit for Current/Previous System Report.” Please note: you can cancel this business process the same way you would cancel any other business process in Workday.

  • Running Worker I-9 Audit for Current/Previous System Report to perform the 2016 form audit:
    • Use an Effective Date 1/1/2018 to catch future-dated hires
    • Deselect “Show Missing Previous System I-9” (that group is not germane to this audit)
    • Once the report has run, look for workers with items in the “Form I-9 Awaiting” column
  • Processes that were initiated prior to September 9th will need to be cancelled if they are not completed by September 15th.  To Cancel In-Progress 2016 Form I-9s:
    • From the Worker I-9 Audit for Current/Previous System report, you will have to cancel the 2016 Form I-9 process for each individual that does not meet the September 15 deadline
    • Select the “Related Actions” icon (the twinkie) next to the process link in the Form I-9 Process column
    • Select “Business Process” and then “Cancel”
    • On the cancel screen, scroll down and enter “Cancelled due to 2017 Form I-9 Update” in the comment field, and hit Submit
  • Once the old 2016 Form I-9 has been cancelled:
    • Employees can initiate the new 2017 Form I-9 by logging into Workday and typing “Complete Form I-9” into the search bar

For any Form I-9 started ON OR AFTER September 9, I-9 Coordinators can follow the normal process.

As a reminder, it is the responsibility of an I-9 Coordinator to ensure an employee completes Form I-9 within 3 days of starting work (start date listed in Workday). For more information about the Form I-9 process, please see the Complete Form I-9 User Guide.
