Mass Upload – Academic Personnel Sabbaticals and Promotions

On September 26, Academic Human Resources and the ISC will begin uploading all 2017-18 Sabbaticals and Promotions into Workday. All information regarding this upload has been vetted by unit administrators in order to ensure that it is correct and complete. Please see below for more details on these processes.

Sabbaticals: The ISC will place the worker on Sabbatical leave and adjust their FTE according to the data provided and validated by the unit. Please note that changes to Sabbatical FTE percentages due to faculty members supplementing their leave with grant funds will need to be entered manually by the unit after the upload is complete. To make these updates, use the Change Job process with the Leave of Absence FTE Change reason code.  The effective date of the change should align with the beginning of the Sabbatical.  If you notice any errors, please email ischelp@uw.edu with the subject line “Sabbatical Error.”  Include the employee name, EID, and a description of the error in the body of your message.  If you have any questions about this action, please email AHR Consultant Jim Ballew (jballew@uw.edu).

Promotions: The ISC will process promotions by changing the job profile, adjusting compensation, and updating the associated Academic Appointment using the data provided and validated by the unit.  Any promotions starting July 1 that had already been processed in Workday prior to this upload will not be affected by this action. If you notice any errors, please email ischelp@uw.edu with the subject line “Faculty Promotion Error.”  Include the employee name, EID, and a description of the error in the body of your message.  If you have any questions about this action, please email AHR Consultant Jim Ballew (jballew@uw.edu).


Return from Academic Summer Hiatus

Wondering what you need to do in Workday with all of the faculty coming back from Summer Hiatus? Good news: the ISC will do the work for you! We will perform a mass Return Worker from Leave process for all faculty who are on Summer Hiatus Leave and have an “Estimated Last Day of Absence” of September 15, 2017. This mass load will be processed on September 18. No manual return is needed on your part, unless your faculty need to be returned from leave prior to September 15 – in which case you’ll need to do the Return Worker from Leave yourself.

IMPORTANT NOTE: After this mass conversion, departments will need to verify individual FTE for each faculty member returning from Summer Hiatus. Starting September 18:

  • Run ‘R0561: Return from Summer Hiatus Leave’ report to review FTEs for workers on Summer Hiatus through September 15. For FTEs that were reduced for summer funding, use the Change Job business process with the appropriate effective date (should be September 16 if last day of summer hiatus leave is September 15) and Summer Hiatus reason code (02 – Summer Faculty FTE Change) to put employees back on normal, academic year FTEs (can be submitted now through September 29).
    • Please note: No compensation changes should be made with this data change.
  • Units can run the ‘Workers On Leave’ report to ensure all of their faculty have been successfully returned from summer hiatus.
