Academic Chair / Chair’s Delegate This position is the Academic Chair or the person delegated by the Chair to act on the Chair’s behalf. The Chair’s Delegate acts with the Chair’s security permissions. The role has Approval authority on some business processes. All
Academic Dean / Dean’s Delegate This position is the Academic Dean or the person delegated by the Dean to act on the Dean’s behalf. The Chair’s Delegate acts with the Chair’s security permissions. The role has Approval authority on some business processes. All
Academic Partner This role is assigned to the Academic Unit and its corresponding Supervisory Organization. It has initiate and approve responsibilities related to a variety of business processes relevant to academic personnel. All
Additional Approver 1 This is a departmental / unit role which has approval authority for a number of HCM business processes. All
Cost Center Manager We are not yet actively using this role. This role is queued for Finance Modernization. Configured as View Only. All
Costing Allocations Coordinator This is a departmental / unit role responsible for entering costing allocation information. All
HCM Initiate 1 This is a departmental / unit role responsible for initiating a number of business processes like Contract Contingent Worker, Change Emergency Contacts, and Manage Certifications, Education, and Languages. All
HCM Initiate 2 This is a departmental / unit role responsible for initiating the more complex business processes pertaining to staffing. Examples include Hire, Change Job, Add Additional Job, End Additional Job, Manage Probation Period, Termination. All
HR Partner This is a departmental / unit role. The role is responsible for initiating the more complex HCM business process transactions for assigned supervisory organizations. The role has primary departmental / unit approval authority for HCM business processes. All
I-9 Coordinator This is a departmental / unit role. This role is responsible for collecting I-9 information for assigned supervisory organizations and verifying that I-9 information is valid. All
Manager Largely a view only role. Has approval authority for Time Tracking business processes if also assigned Time and Absence Approver role. In the Medical Centers, is involved with Performance Management and can Create Positions and Job Requisitions.
Reports to manager is normally the person who, at minimum, is ultimately accountable for the completion of the performance review (positive and negative). To be assigned the Manager Role, a worker must be a member of the superior Supervisory Organization. This will ensure that the reports-to relationships are in sync with the Supervisory Organization structure. To be assigned the Manager role, a worker must be assigned to a Supervisory Organization with a Position Management Staffing Model. The Manager role is not always the time approver.

Time and Absence Approver This is a departmental / unit approver role. This role has approval authority for Time Tracking business processes. This role can be assigned to a Manager. All
Time and Absence Initiate This is a departmental / unit initiator role. It performs time tracking functions for assigned organizations. Examples include entering time on behalf of employees. All
UWHires Hiring Manager This role is for the sole use of UWHires to identify the hiring managers for specific job requisitions. It is a view only role and applies to current supervisory organization only. All
VO-STAFF This is a role-based unconstrained security group which can view Staffing data. All
VO-STAFF-COMP-COST This is a role-based unconstrained security group which can view Staffing, Compensation and Costing data. All
VO-STAFF-COMP-COST-PERSONAL This is a role-based unconstrained security group which can view Staffing, Compensation, Costing and Personal data. All
Absence Office Partner This is a Central Business Unit role responsible for Perform absence management tasks. Examples include adjusting accruals and time off and viewing employees on leave. Approval authority for time off and leave business processes. Central
Academic Personnel Compensation Office Partner This is a central role with approval authority for business processes pertaining to compensation data relevant to academic personnel. Central

Advancement Initiator This role works at a centralized level (including Med Centers) to initiate such business processes as Add Additional Job, End Additional Job, and Change Job. Central

CBU – Benefits Office Partner This is a Central Business Unit role with View Only access to Benefits transactions. It is assigned at the top level of the supervisory organization hierarchy so can see benefits-related information on all workers. Central
Compensation Office Partner This is a Central Business Unit role which has Approval authority for compensation and staffing business processes. Central
EOAA Office Partner This role performs EOAA related tasks at a centralized level across many organizations. This is a view only role and may not change data. Central
HR Office Partner This is a Central Business Unit role which has Approval authority for HCM business process transactions. Central
Labor Relations / Union Office Partner This role is a central unit role with responsibility for Labor Relations / Union data. This Role-Based (Unconstrained) Security Group can access data across multiple organizations and is not constrained by supervisory organization. Central
Recruiting Office Partner This role works at a centralized level to hire staff. Initiates and approves business processes related to staffing including creating positions and job requisitions. Central
Risk Management Office Partner This is a view only role assigned to personnel who perform risk management related tasks in a central office at the university. The role is assigned at the top level of the supervisory organization hierarchy and can thus see all employees. Central
UTemp Office Initiator This role works at a centralized level (including Med Centers) to initiate such business processes as Create Position, Job Requisition, Hire, Add Additional Job, End Additional Job, and Change Job. Central
UTemp Office Partner This role works at a centralized level (including Med Centers) to initiate and approve such business processes as Create Position, Job Requisition, Hire, Add Additional Job, End Additional Job, and Change Job. Central
Work Study Office Partner This role works at a centralized level to assign the appropriate Work Study custom organization to a worker. Central

ISC – HR Office Partner This is an ISC role responsible for data integrity and approval of business processes that pertain to staffing. ISC
ISC – Payroll Office Partner This is an ISC role responsible for processing payroll. ISC
ISC – Retiree Office Partner This is an ISC role responsible for managing retiree tasks regardless of organization. Approval authority for retiree business processes. ISC
ISC Customer Support Representative This is ISC Tier 1. ISC
Organization Partner This is an ISC and federated role. It performs organization management functions for assigned organizations. Examples include organization activation/inactivation, divide organization, create subordinate organization. ISC
Payroll Settlement Specialist Perform payroll settlement functions for assigned organizations. Examples include generating payroll payments and prenotes. Approval authority for settlement business processes. ISC
Security Partner This role is held by a few people in the ISC and federated model. Has the ability to assign roles and create Workday accounts. Actions must be approved by the Security Administrator. ISC
Medical Centers Job Requisition Approver 1 This role is unique to the Medical Centers. It has Approval authority for Job Requisitions created by and for the Medical Centers. The role applies to the current supervisory organization only. Med Centers
Medical Centers Job Requisition Approver 2 This role is unique to the Medical Centers. It has Approval authority for Job Requisitions created by and for the Medical Centers. The role applies to the current supervisory organization only. Med Centers
Medical Centers Job Requisition Approver 3 This role is unique to the Medical Centers. It has Approval authority for Job Requisitions created by and for the Medical Centers. The role applies to the current supervisory organization only. Med Centers
Medical Centers Payroll Partner (RBC) This role is unique to the Medical Centers. It is responsible for:
  • Reconciling information that interfaces between Kronos and Workday.
  • Identifying discrepancies and correcting input by the payroll deadline.
  • Setting up and submitting On Demand check requests for missing pay or termination payouts.
  • Manually updating the Absence module for final termination pay and drain the balances.
  • Manually keying exception time for payroll processing.
  • Calculating and submitting unsupported retro payments.
  • Reviewing and submitting overpayments.
  • Developing Kronos enhancements and training for employees, managers and timekeepers.
  • Collecting and reviewing Kronos time submitted.
  • Assuming responsibility for FTE reconciliations on a weekly basis.
Med Centers
Performance Initiate This is a Medical Centers only role involved in Performance Management and Disciplinary Action. Med Centers
Performance Review Alternate This role is unique to the Medical Centers and is involved with Performance Management processes. Role permissions apply to the current supervisory organization only. Med Centers
Position and Job Requisition Initiate This role is unique to the Medical Centers. It can Create Positions and Job Requisitions. Med Centers
VO-Medical Centers Absence for Leave Specialist This is a view only role for the Medical Centers Leave Specialists. It can view absence management tasks and data. Examples include viewing accruals and time off and viewing employees on leave. View Only permissions for time off and leave business processes. Med Centers
VO-Medical Centers Payroll Partner (RBC) This is a View Only role unique to the Medical Centers. It is a View Only version of Medical Centers Payroll Partner (RBC). It does not receive notifications on business process transactions. Med Centers
Committee Office Partner This role has the ability to manage Committee membership and log Committee meeting minutes relevant to the Faculty Senate. It applies only to organization type Committee Definition. Specific Group
Committee Partner This role is largely a view only role but has the ability to log Committee meeting minute relevant to the Faculty Senate. It applies only to organization type Committee Definition. Specific Group
VO-STAFF for CoMotion This is a role-based unconstrained security group which can view Staffing, Compensation and Costing data. It has permission to view SSN, Home Address, Citizenship Status and Country for Worker Tax Treaty. Specific Group
